
Club Poster Contest
Highlight your SASES Club!
Purpose
The purpose of this contest is to showcase undergraduate work through club activities, and gives students the learning experience of disseminating information by producing and presenting a poster, interacting with the public and professional sectors, and competing with other SASES clubs that culminate in awards.
Awards and Recognition
A ribbon with the club’s placing will be displayed with the poster during CANVAS. Monetary awards will be given to the club for the first ($300), second ($200), and third place ($100) posters.
Eligibility
1. The contest is open to affiliated SASES chapters (100% of local club members are paid undergraduate members of ASA, CSSA and/or SSSA).
2. One poster will be accepted from each club and must be an original product.
3. Chapters participating must have at least one member in attendance at CANVAS to serve as a poster presenter during judging.
4. Club participants must meet all deadlines and follow appropriate guidelines for submitting an abstract. Participants are required to submit an abstract prior to July 8.
Rules/Procedures
1. The poster presentation will be on a project or activity of the club’s choosing and must contain a title, abstract/ introduction, body and conclusion. Ideas for poster presentations include, but not limited to, educational leadership, fund raising, and volunteer or community service programs which promote agronomy, crop, soil and environmental sciences.
2. Poster should be 44.5” x 44.5” Posters exceeding the size limits will be penalized 10 points on each judge’s scorecard. All presenters will present for a two hour period. A poster board number will be placed in the upper left corner of the board on a 4½” x 3” card. The poster boards are Velcro friendly. Please bring your own Velcro. Computer display equipment, sound or projection equipment, or free-standing displays are not permitted.
Submission
1. Submit abstract online on or before the abstract deadline.
2. Submit abstract in Undergraduate (SASES) Program.
3. Go to the Poster Session link; then select SASES Club Poster Contest. Be sure to include your university or club name in the abstract title so it can be easily recognized in the CANVAS program. In addition, it is highly encouraged to add your club advisor as the last author.
4. The abstract must be submitted by a student member.
5. The abstract fee is $75 if submitted after the early abstract deadline.
6. After submission, you will be able to edit your abstract until November 12.
7. Your abstract is not submitted until you receive an e-mail receipt from Conference Exchange (Confex) with your abstract number and password. This e-mail will acknowledge the successful registration of your abstract. Without this number, your paper is not officially registered.
Withdrawal of Poster
An author (club) who wishes to withdraw a paper after submitting the abstract can only withdraw online. Follow the instructions provided by Conference Exchange on withdrawing your abstract and notify the Contest Chair.
Judging
1. Posters will be displayed all of Monday during CANVAS.
2. Authors are expected to be present for two hours on Monday evening, as indicated in meeting program, to explain poster and answer questions.
3. Adhere carefully to poster dimensions and equipment specifications listed above. Failure to do so could prevent display of your poster.
4. Posters will be scored by at least three judges using the official score card. Posters will be judged on organization, presentation, visual aids and response to questions during judging.
5. Judges will observe posters and ask questions. Presenters need to be prepared to concisely highlight the topics. It is recommended that 2-3 members be present to answer questions, and all present should participate equally.
6. Judges shall be appointed well in advance of the contest by the chair of the Club Poster Contest sub-committee.
7. At conclusion of judging, each judge shall tabulate scores and indicate choices for first, second and third place. The faculty chair of the Club Poster Contest shall tabulate all judging scores and determine the top three placings.
